How it Works
Customize Your Picture Day
Months prior to the event you will select a date that works well for your school. Think of days when you know your attendance is high. Once you decide on a date, it's time to choose your backdrop. We use one backdrop per event and we will never bring the same set to your school, unless you ask us to. Then, together we'll determine if you need class pictures, staff pictures, and/or candids taken in the classroom.
Preparation
About 1 month prior to picture day we will send you an email that can be forwarded to your parents with a link to pre-register for pictures. This gives us permission to take their child's pictures and to send them emails directly about the event and sale of the pictures. It also links their email address to their children's pictures in our system. They will get an email notification when the pictures are ready to view (usually less than a week after the event) with a link to get to their child's pictures. We will also send a 13x19 custom made poster displaying all of the information about the event with a QR code on it that will take them to the pre-registration page.
2 weeks prior to the event we will send you a list of everyone that has pre-registered so far. This will give you a chance to follow up with folks that haven't registered yet.
1 week prior pre-registration closes. We will send you a final list of everyone that has signed up for pictures. If someone hasn't signed up, it's OK we can still take the pictures, but they will need to have an access code (we will give on picture day) in order to log in to see the pictures for the first time.
Picture Day
All we need from you on picture day is a helper. If possible, a staff member that knows the children to help keep names straight and make the children more comfortable.
That is all we really need. Do not worry about taking pictures in any order. We can use our pre-registration list to keep everyone straight. We can work with you and handle the process in any way that works best for you and your school.
What We Will Do:
1. We arrive about 30 minutes prior to our start time to set up.
2. We will always come as a team of two. One crucial element that makes us successful is having one person to assist with posing and getting natural smiles and expressions, while the other is ready to take the picture.
3. Through the day we will keep track of all of the children photographed and be able to always match names to faces.
4. If you have requested to take class pictures we can do that either as we go or after we are done with the individuals. We usually take them in the classroom.
5. Occasionally it is necessary to come back on another day to take the class pics and/or the candids. This is not a problem and we can arrange it as needed.
Viewing
A Week After The Event:
Emails will be sent out to all of the parents letting them know that the pictures are ready to view. A link is included to take them directly to their pictures. All photo galleries are private and secure. They will include any group/class pictures taken. The only way to access the pictures is to have the email link or a private access code. We will send a global access code for you and your staff to be able to see all of the pictures for the school. You can use this to order any prints or files that you need for your school. You can also order sample products if you would like to have them on hand as well. We will provide a coupon code that gives you the ability to order anything you need free of charge.
Viewing and Ordering:
Parents can place their order right through the site and choose to pay by credit or debit card. Parents can even request touch-ups if needed. They can crop their pictures, change orientation and change them to black and white, sepia, etc. free of charge during the check out process.

Because we use an online viewing and ordering system, friends and family that are out of the area can view and order pictures as well. They just need to forward the email to whomever they like. We can even ship anywhere in the continental US.
The viewing period is typically two weeks, but we can make it longer or shorter if you wish. After the viewing period is over, we need a few days to process the orders and get them printed. The prints will usually be delivered to the school within a week organized by class and name. If someone chose to have pictures shipped directly to them, their order is sent to the lab and sent them immediately upon receipt.
Late Orders
We retain all of the images that we take for at least 5 years. Late orders are always welcome. The parent can simply contact us with the name of the school and child and we will open the gallery for them to order from. There is NO additional charge for this service and they will get the same prices, all we do ask is for a minimum order of $20 and they will need to pay for shipping since the batch shippment already went out to the school.
If for any reason someone is not satisfied with their prints we will replace them free of charge, if minor touch-ups are needed to correct the problem, we will be happy to do this for them. If the prints can not be fixed to their satisfaction, they can return them for a full refund.
Re-shoots can be accommodated at our studio in north Durham, by appointment. There is no extra fee for this either, and they will have the same pricing available to them as the rest of the school.
Pricing
We know that pricing is always a big concern. As the director it is up to you to choose a photographer that not only takes great pictures, but also offers them at prices that everyone can afford with packages that are useful and flexible. Because of this we offer our individual sheets start at just $9 for a single 4x6.
A full sheet is an 8x10 size piece of paper with as many prints as will fit on it. For example, it can be one 8x10 or two 5x7s or four 3x5s or eight wallets. They don't need to buy a package, they can get just one sheet for $12.50.
We also offer digital copies of images for just $17 each. They of course come with a full copyright release so they can get their own prints made anywhere they choose.
